ELECTRONIC FILING POLICY

1. General Electronic Filing Policy

KENANGA: Journal of Biological Sciences and Applied Biology is committed to maintaining the availability, integrity, and accessibility of scholarly publications managed through its electronic journal management system.

Manuscript submission, editorial management, peer review, and article publication are conducted through the Open Journal Systems (OJS) platform. This platform supports the electronic management of documents throughout the publication process, from initial manuscript submission to final publication and online access.

This Electronic Filing Policy aims to support continued access to scholarly publications, preserve the journal's publication records, and establish principles for the storage and management of electronic documents associated with the journal's publishing activities.

This policy applies to all articles, journal issues, publication metadata, and editorial records managed by KENANGA.

2. Article Archiving and Digital Preservation

2.1. Journal Website Archive

Published articles are available through the KENANGA online archive on the OJS platform. The archive contains journal issue information, published articles, author details, bibliographic metadata, and the corresponding publication files.

The journal's online archive serves as the primary access point for KENANGA publications and facilitates the retrieval and identification of previously published scholarly works.

The journal's management team strives to maintain the availability of published articles and related publication information through the journal website.

2.2. Long-Term Digital Preservation

KENANGA is committed to supporting the digital preservation of scholarly publications to promote continued access to published articles.

The journal's management team undertakes appropriate measures, within the available facilities and mechanisms, to protect publication files and maintain the journal's scholarly record.

If the journal website experiences technical problems or becomes inaccessible, the journal will make reasonable efforts to restore the service and preserve its data in accordance with applicable technical procedures and administrative responsibilities.

If the journal implements external digital preservation services, information about those services will be provided in accordance with their actual implementation status.

2.3. Data Backup

Data backup is an important component of electronic archiving. The journal's management team coordinates with the system administrator or server administrator to support the protection of journal data and facilitate recovery in the event of technical disruptions.

Data that should be considered for backup include published articles, publication metadata, journal issue information, and system data necessary to restore journal services.

The implementation, frequency, and scope of backups follow the technical procedures established by the server administrator and the institution.

2.4. Digital Preservation Networks

KENANGA: Journal of Biological Sciences and Applied Biology recognizes the importance of digital preservation networks in supporting the long-term availability, integrity, and accessibility of scholarly publications.

The journal's Open Journal Systems (OJS) platform provides configuration options for digital preservation services, including Lots of Copies Keep Stuff Safe (LOCKSS), Controlled Lots of Copies Keep Stuff Safe (CLOCKSS), and the PKP Preservation Network (PKP PN).

LOCKSS and CLOCKSS

LOCKSS and CLOCKSS are digital preservation initiatives designed to help safeguard scholarly content and support continued access to published materials. These services use distributed preservation mechanisms to reduce the risk of permanent content loss.

KENANGA has enabled the LOCKSS and CLOCKSS options in its OJS distribution settings. The journal will verify the applicable service configuration and participation status before making any claims regarding successful preservation or archiving through these networks.

PKP Preservation Network (PKP PN)

The PKP Preservation Network is a digital preservation service developed to support the long-term preservation of journal content published through Open Journal Systems.

KENANGA recognizes the importance of PKP PN as a potential preservation mechanism for its scholarly publications. The journal will review the availability, configuration, and participation status of this service and take appropriate steps toward implementation, where applicable.

Verification and Preservation Status

The activation of preservation-related options in OJS does not, by itself, confirm that journal content has been successfully preserved by an external preservation network. The journal will therefore seek to verify its actual participation and preservation status through the relevant service documentation or administrative interfaces.

Information concerning the digital preservation services used by KENANGA will be updated as necessary to reflect their actual implementation status.

Through these measures, KENANGA aims to strengthen the continuity of access to its published articles and maintain the integrity of its scholarly record.

3. Digital Identification and DOI

KENANGA uses Digital Object Identifiers (DOIs) to identify published scholarly works in accordance with the journal's publication policies.

DOIs help readers, researchers, and reference management systems locate articles and connect publications with their associated bibliographic metadata.

A DOI provides a persistent digital identifier; however, it does not, by itself, guarantee the permanent availability of an article file. Therefore, DOI implementation should be supported by appropriate archiving practices and digital preservation measures.

DOI metadata are managed in accordance with the requirements of the DOI registration service used by the journal.

4. Indexing and Publication Discoverability

To improve the visibility and discoverability of its publications, KENANGA provides bibliographic and publication information through its website and relevant scholarly indexing and discovery services.

Services listed on the KENANGA website include Google Scholar, Garuda, Dimensions, BASE, WorldCat, and other relevant services, subject to the actual indexing status of each service.

Indexing services help researchers discover KENANGA publications but do not necessarily provide digital archiving or preservation. The presence of an article in an indexing or discovery service does not, by itself, guarantee the availability of a permanent archival copy.

5. Author Self-Archiving Policy

KENANGA supports the dissemination of research findings and the accessibility of scholarly publications in accordance with the journal's copyright and licensing policies.

Authors may deposit or share their articles through institutional repositories, scholarly repositories, personal academic websites, or other scholarly platforms, provided that such activities comply with the applicable copyright terms, licensing conditions, and journal policies.

The self-archiving provisions for different manuscript versions are outlined below.

5.1. Preprint

A preprint is a manuscript version that has not yet undergone peer review and has not been accepted for publication.

Depositing or sharing a preprint must comply with the journal's submission requirements, publication ethics, and applicable editorial policies.

5.2. Accepted Manuscript (Postprint)

An accepted manuscript is a version that has undergone peer review and has been accepted by the editor but may not yet incorporate the final published layout.

Authors may archive this version provided that the deposit complies with the applicable copyright and licensing policies.

5.3. Published Version (Version of Record)

The published version, or Version of Record, is the final article officially published on the KENANGA website.

Authors may share the published version in accordance with the copyright terms and licensing conditions applicable to the article.

5.4. Article Sharing Requirements

When archiving or sharing their articles, authors are encouraged to:

  • Provide a complete citation to the original publication in KENANGA, including the author names, article title, volume, issue, publication year, and page numbers, where applicable.
  • Include the article's DOI link, where a DOI has been assigned.
  • State the applicable license information for the article.
  • Provide a link to the official version of the article on the KENANGA website.
  • Ensure that the distribution of the article complies with the journal's copyright and licensing terms.

Self-archiving must comply with the Copyright Notice and the Creative Commons license applicable to the article. Any changes to these terms will be reflected in the journal's self-archiving policy.

6. Editorial Record Management and Retention

KENANGA maintains electronic records associated with manuscript submission, peer review, editorial decisions, and article publication.

These records may include:

  • Manuscripts submitted by authors.
  • Supplementary files accompanying manuscript submissions.
  • Reviewer invitations and responses.
  • Peer-review reports.
  • Correspondence between authors, editors, and reviewers.
  • Editorial decisions concerning manuscript acceptance, revision, or rejection.
  • Final article files and publication information.
  • Other documents necessary to support editorial administration and publication accountability.

Editorial records support the traceability of the publication process, the handling of post-publication inquiries, and the evaluation and improvement of journal management.

Confidential documents are not made publicly available and may only be accessed by authorized individuals according to their roles and responsibilities.

The storage and retention of electronic editorial records follow the journal's management procedures and applicable institutional requirements.

7. Electronic Document Security and Confidentiality

KENANGA strives to protect the security and confidentiality of documents managed through its electronic journal system.

Unpublished manuscripts, reviewer reports, editorial correspondence, and editorial decisions are treated as confidential documents, except where disclosure is permitted by applicable policies or supported by valid authorization.

Access to electronic documents is granted according to user permissions and assigned roles within the OJS platform. Document management takes into account publication ethics, information protection, and the integrity of the peer-review process.

The journal's management team coordinates with the system administrator to address technical issues that may affect the security, availability, or integrity of journal data.

8. Open Access to Published Articles

KENANGA is an open-access journal that provides access to its published scholarly articles through the journal website, subject to the applicable terms and conditions.

Readers may browse journal issues and access available articles through the journal archive without requesting access permission from the editor.

The reuse, reproduction, storage, and distribution of articles are governed by the copyright terms and Creative Commons license stated in the individual article or the journal's official policies.

9. Technical Disruptions and Continuity of Access

If the KENANGA website experiences technical disruptions, the journal's management team will coordinate with the system administrator or server administrator to investigate the problem and restore the service.

Recovery measures may include checking data availability, restoring files from backups where available, and restoring access to published articles and publication information.

If the website becomes inaccessible for an extended period, the journal will consider appropriate measures to maintain access to its scholarly publications, taking into account data availability, technical facilities, and the digital preservation mechanisms actually implemented.

10. Policy Review and Updates

This Electronic Filing Policy will be reviewed periodically to ensure its continued relevance to developments in scholarly publishing technology, copyright policies, journal management systems, and institutional requirements.

Any amendments to this policy will be announced on the KENANGA website so that authors, reviewers, editors, readers, and other stakeholders can remain informed.

This policy applies to all publications of KENANGA: Journal of Biological Sciences and Applied Biology and reflects the journal's commitment to maintaining the integrity, accessibility, and continuity of its scholarly record.
